Night shift handover checklist

Before starting night shift — review these items

  1. Guest incidents — Check system for any incidents logged during the day shift. Follow up on any open items.
  2. Maintenance requests — Review pending maintenance tickets. Identify any that will affect night guests.
  3. Expected late arrivals — Check reservation list for guests arriving after 10pm. Ensure their rooms are ready.
  4. Pre-registered guests — Confirm all pre-registered guests have their keys and information prepared.
  5. VIP arrivals — Review VIP notes. Ensure welcome amenities are placed and room is set up per instructions.

Handover notes from day shift

The outgoing shift lead must complete the handover notes in the system before departure, covering:

  • Outstanding guest requests
  • Any unresolved complaints
  • Boutique maintenance status
  • Cash float count for the night shift

Night shift responsibilities

  • Respond to all guest calls within 5 minutes
  • Conduct a lobby and corridor walkthrough every 2 hours
  • Lock secondary entrances at 11pm
  • Monitor security cameras and report anomalies immediately
  • Prepare morning newspaper and breakfast setup by 6am

Emergency contacts

Keep the emergency contact sheet at the front desk at all times. For any emergency, contact the duty manager immediately — do not wait until morning to report incidents.
